KSI Integrated Facility Services ("KSI," "we," "us," or "our") respects your privacy and is committed to protecting the personal information of everyone who visits our website, contacts us, uses our services, or applies to work with us.

This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, where it is stored, and the choices and rights available to you.

1. Scope of This Policy

This policy applies to:

  • Visitors to ksintegrated.com

  • Current, past, and prospective clients and their representatives

  • Vendors, subcontractors, and trade partners

  • Job applicants

KSI is headquartered in Ontario, Canada and delivers facility services to clients across multiple Canadian provinces and several US states. This policy is designed to meet our obligations under:

  • The federal Personal Information Protection and Electronic Documents Act (PIPEDA)

  • Substantially similar provincial legislation, including the Personal Information Protection Act (Alberta) and the Personal Information Protection Act (British Columbia)

  • Canada's Anti-Spam Legislation (CASL) in respect of commercial electronic messages

  • Applicable US state privacy laws, including the California Consumer Privacy Act as amended by the California Privacy Rights Act (together, the "CCPA")

This policy does not apply to the personal information of KSI employees, which is governed by our internal employment privacy practices.

2. Accountability

KSI has designated a Privacy Officer who is accountable for our compliance with this policy and with applicable privacy legislation. Contact details are in Section 14.

3. Personal Information We Collect

3.1 Information you provide to us

  • Name, employer or company name, and job title

  • Business email address, phone number, and mailing address

  • Site or property address and access details required to deliver services

  • Details of your facility service requirements, such as service type, building type, square footage, scope, scheduling, and current arrangements

  • Billing and account information

  • Information contained in requests for proposal, requests for quotation, tender submissions, and related procurement correspondence

  • Any other information you choose to provide in a contact form, quote request, phone call, or email

3.2 Information from job applicants

  • Resume and cover letter, employment and education history, references, certifications and licences, and work authorization status

  • Information gathered during interviews and, where applicable and with your consent, background or reference checks

3.3 Information collected automatically

When you visit our website, we may collect:

  • IP address and approximate location at the city or region level

  • Browser type, operating system, and device information

  • Pages viewed, time on page, referring website, and links clicked

  • Information collected through cookies and similar technologies, as described in Section 7

3.4 Information from other sources

  • Information provided by a business contact who refers or introduces you to KSI

  • Information contained in publicly issued tender and procurement documents

  • Business contact information you or your organization have made publicly available for the purpose of business communication, where our use of that information is consistent with the purpose for which it was published

We do not knowingly collect personal information from children. Our website and services are directed at businesses and adults.

4. Why We Collect and Use Personal Information

We use personal information only for purposes a reasonable person would consider appropriate in the circumstances, specifically to:

  • Respond to inquiries, quote requests, and procurement submissions

  • Assess, price, schedule, and deliver facility services, including custodial, grounds and exterior maintenance, HVAC, plumbing, electrical, and general maintenance work

  • Coordinate site access, safety requirements, and on-site service delivery

  • Administer accounts, invoicing, and payment

  • Communicate about active service requests, including urgent or unscheduled repairs

  • Send marketing communications about KSI's services, where permitted and subject to Section 8

  • Operate, secure, and improve our website

  • Recruit, evaluate, and communicate with job applicants

  • Meet legal, regulatory, health and safety, contractual, insurance, and audit obligations, including obligations arising under our certified management systems

  • Detect and prevent fraud, and protect the security of our people, clients, sites, and systems

We will not use your personal information for a new purpose that is materially different from those described above without first obtaining your consent, unless the law permits or requires otherwise.

5. Consent

We collect, use, and disclose personal information with your consent, except where legislation permits or requires us to act without it.

Express consent. We obtain express consent where the information is sensitive, where the purpose would not be obvious to you, or where legislation requires it, including for most commercial electronic messages.

Implied consent. Where you voluntarily provide business contact information in order to obtain a quote, request service, or discuss a commercial relationship, we treat that as implied consent to use the information for those purposes.

Withdrawing consent. You may withdraw your consent at any time, subject to legal and contractual restrictions and reasonable notice. Withdrawing consent may prevent us from continuing to provide some or all services to you. To withdraw consent, contact our Privacy Officer using the details in Section 14.

6. How We Share Personal Information

We do not sell personal information, and we do not disclose personal information to third parties in exchange for monetary or other valuable consideration.

We share personal information only as follows:

  • Service providers. Third parties who perform functions on our behalf, such as website hosting, email and productivity platforms, customer relationship management, analytics, telephony, payment processing, and IT support. These providers act on our instructions and are bound by confidentiality and data protection obligations.

  • Subcontractors and trade partners. Where a specialized trade is required to complete a service you have requested, we share only the information necessary to perform that work.

  • Professional advisors. Legal, accounting, audit, and insurance advisors, under duties of confidentiality.

  • Legal and regulatory disclosures. Where required or permitted by law, to respond to a valid legal process, to protect our legal rights, or to protect the safety of any person.

  • Business transactions. In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to appropriate protections.

7. Cookies, Analytics, and Advertising

Our website uses cookies and similar technologies to operate the site, remember preferences, and understand how the site is used. Cookies fall into the following categories:

  • Strictly necessary cookies, which are required for the site to function

  • Analytics cookies, which help us understand aggregate traffic and usage patterns

  • Advertising and retargeting cookies, where in use, which may allow third-party advertising platforms to show you KSI advertisements on other websites

Where non-essential cookies are used, we will seek your consent through a cookie banner before they are placed, and you may change your preferences at any time. You may also control cookies through your browser settings. Disabling certain cookies may affect how parts of the website function.

Some US state privacy laws treat the use of third-party advertising and retargeting cookies as a "sale" or "sharing" of personal information for cross-context behavioural advertising, even where no money changes hands. 8. Marketing Communications

We send commercial electronic messages only where we have your express or implied consent under CASL, or where an exemption applies. Every commercial electronic message we send identifies KSI, provides our contact information, and includes a functioning unsubscribe mechanism that we will action within ten business days.

You may opt out of marketing communications at any time by using the unsubscribe link in any message or by contacting our Privacy Officer. Opting out of marketing does not affect operational communications about services you have requested or that are underway.

9. Where Your Information Is Stored and Processed

KSI is based in Canada. Some of our service providers, including website hosting, email, analytics, and software platforms, store or process personal information in the United States or in other countries.

While personal information is located in another jurisdiction, it may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction under the laws in force there. We use contractual and other measures intended to provide a comparable level of protection wherever your information is processed.

10. Retention

We retain personal information only as long as necessary to fulfil the purposes described in this policy, or for a longer period where required by law, contract, insurance, limitation periods, or our audit and certification obligations.

As a general guide:

  • Website analytics data is retained for the period configured in the relevant analytics platform

  • Inquiry and quote records are retained for the duration of the commercial relationship and for a reasonable period afterward

  • Client service and billing records are retained in accordance with legal, tax, and contractual requirements

  • Unsuccessful job applications are retained for a limited period in case future opportunities arise, unless you ask us to delete them sooner

When personal information is no longer required, we securely destroy, erase, or anonymize it.

11. Your Rights and Choices

Subject to legal and contractual exceptions, you may:

  • Access the personal information we hold about you and receive an account of how it has been used and to whom it has been disclosed

  • Correct personal information that is inaccurate or incomplete

  • Request deletion of your personal information

  • Withdraw consent, as described in Section 5

  • Opt out of marketing communications at any time

11.1 Additional rights for California residents

Where the CCPA applies, California residents may:

  • Request disclosure of the categories and specific pieces of personal information we have collected, the sources, the business purposes for collection, and the categories of third parties to whom it was disclosed

  • Request deletion or correction of personal information

  • Opt out of the sale or sharing of personal information. KSI does not sell personal information. Where third-party advertising or retargeting cookies are in use, you may opt out as described in Section 7

  • Limit the use and disclosure of sensitive personal information. KSI does not collect sensitive personal information for the purpose of inferring characteristics

  • Exercise these rights without being discriminated against. We will not deny you goods or services, charge you a different price, or provide a different level or quality of service because you exercised a privacy right.

You may designate an authorized agent to submit a request on your behalf. We will verify your identity before responding, and we may decline requests we cannot reasonably verify.

11.2 How to make a request

Submit requests to our Privacy Officer using the contact details in Section 14. We will respond within the time required by applicable law, generally thirty days in Canada and forty-five days in California, and will tell you if we need an extension.

12. Safeguards

We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access controls, staff confidentiality obligations and training, secure hosting, and contractual protections with service providers.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a privacy breach creates a real risk of significant harm, we will notify affected individuals and the appropriate regulator as required by law.

13. Third-Party Links

Our website may link to third-party websites, including social media platforms and job boards. We are not responsible for the privacy practices of those sites. Review their privacy policies before providing personal information.
